Department Event Calendar

Our event calendar is hosted on Google Apps. Here's how to use it.

Calendar Viewers

If you want to view the calendar on your own Google calendar display, you can add it as follows:
  1. Open your calendar. You can do this by going to https://calendar.google.com/, or by selecting the calendar app in your UCSB Connect Google account.
  2. On the bottom left side, you will see a heading marked Other Calendars, and below it a text box marked Add a coworker's calendar. Click on that text box and paste in the following code:
    ucsb.edu_6pl1krhb1mchg98jtbc22ah9to@group.calendar.google.com
  3. Hit the Enter key. The events should be added to your calendar. Click the down arrow next to the new calendar to change its color and visibility. If you have a different calendar program you like to use, you can probably add it using its iCal URL.

Calendar Editors

If you want permission to add events to the calendar, you'll first need to email sysadmin@math.ucsb.edu to be added to the list.

Once you've been added, you should receive an email notifying you that the calendar has been added to your Google Calendar account. It will show up on https://calendar.google.com/ under Other Calendars, with the name UCSB Mathematics Events. By hovering your mouse over the calendar name, then clicking the three dots next to it, you can change the color it's displayed with or hide it entirely. If you hide it and later want it back, you can restore it under your calendar settings.

Adding an Event

  1. Open your calendar (either by browsing there from your UCSB Connect account, or by going to https://calendar.google.com/)
  2. Click the large button in the upper left marked Create, then click Event.
  3. Near the bottom of the dialog box, there will be a drop-down list with a calendar icon that will initially show your name. Click that and select UCSB Mathematics Events.
  4. Fill out the event information and hit Save.

Editing or Deleting an Event

  1. Open your calendar and find the event.
  2. Click the event.
  3. Click the pencil icon to edit, or the trash can to delete.

Hallway display

The hallway display shows up to 8 upcoming events, within the next 30 days. When you add a new event, it may take a few minutes for the display to update. Report problems with the hallway display to sysadmin@math.ucsb.edu.

Hints and Tips

  • The following fields are recognized by the hallway display:
    • Title
    • Where (location)
    • Description
      • Only the first 70 words of the description will be visible on the wall display.
      • The wall display will correctly render most LaTeX inline math ($...$) as well as LaTeX -style diacritics. However, people viewing entries on the Google character will see the raw code. For this reason it's best to use Unicode instead of LaTeX characters whenever possible.
      • If you need to include a literal $, precede it with a slash -- that is, \$.
  • Event colors and attachments will be visible to people looking at the calendar from Google Connect, but will not affect the hallway display.
  • Events set to repeat will be noted as such on the hallway display, and each repetition will be shown as an event (assuming it's within the 30 days/8 events window.)
  • To put an event on the calendar without it appearing on the hallway display, add "SKIP ME" to the description (all caps.)
  • The display is actually a web page, https://boole.math.ucsb.edu/videowall/ics-display/. You can view it in your web browser, although the formatting will be somewhat different due to screen size and font size differences.
