Locked print jobs

The Ricoh printer/copiers have the ability to lock a print job, so it won't print until you're physically there to release it. This can be useful for jobs with confidential information.

Note: You should test this and make sure you have it working before sending anything really sensitive.

Sending a locked job

  1. Start printing your document normally.
  2. If your software shows its own print dialog (e.g., Google Chrome or Adobe Reader), click "Use System Print Dialog" to get a full set of printer options.
  3. Select Copier 1 or Copier 2 as your printer.
  4. Find the Job Type setting:
    1. Mac: From the dropdown list near the bottom of the print dialog, select either "Job Log" or "Printer Features", depending on the exact version of the printer driver you have installed.
    2. Windows: Click "Preferences", click the "Detailed Settings" tab, then click "Job Setup"
    3. Linux: Click the "Advanced" tab.
  5. For Job Type, select "Locked Print". (You may have to scroll down a little in the dialog box to see this option and the following ones.)
  6. Windows only: Click "Details"
  7. Enter a 4 to 8 digit passcode in the "Password" box.
  8. Edit the "User Id" box. This is just a label so you can identify your job(s) in the job list. It should be 8 characters or less, letters and numbers, no spaces.
  9. Windows only: Click "OK" in each dialog until you get back to the Print dialog.
  10. Click "Print" as you normally would. The job will be sent to the printer, but will not actually print yet.


Retrieving a locked job

  1. Go to the copier's home screen (tap the house icon at the bottom of the screen, if needed.)
  2. Tap "Printer (Classic)"
  3. Tap "Print Jobs"
  4. You should see the User Id you entered when you sent the job. Tap it.
  5. The locked job should be visible in the list. Tap it to select it, and tap "Print"
  6. You will be asked to enter your password on the keypad (the same one you set in the print dialog), then to confirm you want the job to print. Once the job finishes printing, it will be removed from the printer's memory.
